Administrative Coordinator
Based out of South Florida
Overview of Responsibilities:
The SEIU Florida Administrative Coordinator is responsible for overseeing and helping to implement special projects and programs statewide that support SEIU Florida’s vision and short- and long-term plans, assist the Executive Director with meetings and travel responsibilities for the entire staff. Must be experienced having worked in a fast paced office environment and capable of handling multiple and diverse assignments. Labor or campaign experience preferred. The Administrative Coordinator reports directly to the Executive Director and works closely with the SEIU Florida staff and SEIU locals.
Physical Requirements: South Florida. Office located in Miramar, FL.
Core Job Functions:
- Process checks for meal requests, advances, reimbursements, political checks and payments.
- File Labor Management Report with Department of Labor.
- Prepare for audits, working closely with them.
- Bank Deposits
- Coordinate between the office and vendors.
- Bond Renewal
- Track per capita from each local.
- Prepare for Year-End closing
- Process payroll
- Update and maintain staff time off accruals.
- Create, follow and implement policies and procedures.
- Maintain the administrative section of the Hub.
- Administer and update State Council Attendance Calendar.
- Process new hires Packets.
- Exit interviews.
Secondary Job Functions:
- General office support for both staff and visitors.
- Plan meeting logistics, announcements and take detailed minutes.
- Develop and maintain an electronic and hard copy filing system.
- Places, answers, screen, and redirect a large volume of telephone calls.
- Maintain contact lists of staff, vendors, and other agencies.
- Performs receptionist duties, receives visitors, determines need and directs accordingly.
- Receives, date stamps and distributes mail. Prioritizes mail and handles routine requests when necessary.
- Takes dictation of letters, memos, reports and other documents, transcribes and Proofreads for accuracy, grammar, and punctuation. Duplicates and circulates documents accordingly.
- Inventories and orders supplies with attention to quality and cost effectiveness.
- Makes hotel and airline reservations as requested. Prepares travel itinerary and confirms all plans.
- Makes arrangements for conferences and organizing meetings.
- Maintains the conference room request.
- Provides other support to office and field staff as requested
- Provide logistical support to the political team and Director.
- Provide logistical support to the State Council Board and members.
Qualifications:
- Associates degree in office administration may be preferred.
- Highly motivated and organized.
- Ability to handle multiple task and duties simultaneously.
- Independently motivated, with the ability to take on tasks and duties without immediate direction.
- Demonstrated ability to exercise excellent political judgment and discretion;
- Ability to work independently within context of a plan;
- Effective time management skills, including prioritizing and managing multiple tasks.
- Excellent written and verbal communication skills;
- Computer proficiency is required: email, Internet, database/spreadsheet, word processing, and web conferencing.
- Spanish and/or Kreyol fluency is a plus
Compensation: The position offers a competitive salary and benefit package. Specific salary will be commensurate with experience.
