The Machinists Institute (MI), a 501(c)(3) nonprofit, was created by the International Association of Machinists & Aerospace Workers District 751 to fill a vital role for Machinists members and employers and the broader community. With the visionary leadership of the Union, MI will provide world class training to current and future aerospace, automotive and manufacturing workers. The Institute will focus on providing living-wage career opportunities through education and training across the state. Union partnership allows collective bargaining to Washington workers.

This position reports to the Executive Director of the Machinists Institute. Work hours for this position are 8am to 5pm, Monday through Friday. The incumbent will be responsible for assisting the MI staff with project research, database creation and maintenance, facilitation and logistics coordination of meetings for industry, education and workforce partners, and planning and coordination of classes which includes student (including apprentice and pre-apprentice students) intake, registration and progression. The position requires research, data collection, grant management; maintaining budget and accounting data; working on special projects. This position is scheduled to begin upon selection.

RESPONSIBILITIES:

  • Prepare and monitor requisitions for the MI. Record expenditures against the budget, and share information with the Executive Director.
  • Assist in the research of possible grant opportunities; participate in proposal writing, research labor market information, industry innovations and best practices and areas related to the MI.
  • Coordinate events and classes including student orientation events, logistics, registration, processing registration fees, generating receipts and confirmations as needed.
  • Manage grant documentation and outcomes including preparation of required reports and data tracking
  • Responsible for student intake including registration, apprenticeship and pre-apprenticeship records, data collection and records keeping/tracking
  • Develop and maintain contact distribution lists/databases.
  • Convene meetings, record minutes and maintain records as needed.
  • Greet and direct visitors of the MI. Answer the telephone and provide information about the Institute.
  • Receive, screen and route incoming mail, including electronic mail; respond to routine inquires. Sort and file a variety of documents; maintain files.
  • Communicate professionally and effectively, both orally and in writing, with college employees, departments and outside agencies.*

  • Perform other related tasks as assigned.

MINIMUM QUALIFICATIONS:

  • High school graduation or equivalent with three years of increasingly responsible administrative experience. Advanced technical training in administrative procedures may substitute on a month for month basis for up to one year of the required experience.
  • Ability to maintain confidentiality, think critically and exercise independent judgment required.
  • Advanced knowledge of Microsoft Office 2010, specifically experience creating & editing documents, spreadsheets and presentations. Previous success learning new computer software programs/ platforms required.
  • Knowledge of general bookkeeping procedures and the ability to record, maintain, reconcile and correct accounts and records is preferred.
  • Excellent leadership and interpersonal skills and ability to work effectively as part of a team.
  • Successful experience using tact, discretion and courtesy while interacting with all persons.
  • Demonstrated attention to detail required as well as previous experience maintain accurate records, managing multiple tasks, and planning and organizing work in order to meeting changing priorities and deadlines.
  • Successful experience with diverse population of varied ethnicity, ages, backgrounds and abilities, and a commitment to a culturally diverse environment.

Prefer knowledge and understanding of unions and their purpose.

Salary and Benefits
The starting salary for the position is $60,000 – $70,000. The Machinists Institute also provides generous health and welfare benefits, retirement contributions into a savings plan, and generous leave.
