The Florida Education Association (FEA) is the largest professional and labor organization in the state of Florida and represents more than 144,000 education employees. FEA members include teachers and education staff professionals, higher education faculty, retirees, and students seeking degrees in education. FEA represents the professional and working interests of its members and plays a prominent role in shaping state policies that affect public schools. FEA is a merged state association affiliated with both the National Education Association (NEA) and the American Federation of Teachers (AFT).

Position Summary: The FEA seeks a dynamic and experienced Executive Assistant to support FEA’s elected officers and Chief of Staff. The primary functions of this position include providing administrative support to the Executive Office, interacting with FEA members, staff, and other stakeholders, and coordinating the support of FEA’s governance board and executive cabinet. The successful candidate must possess the ability to successfully manage multiple high-priority projects, thrive in a high-pressure environment, seamlessly transition with shifting priorities, and always exhibit professionalism. Additionally, excellent verbal and written communication skills are necessary for this position.

Specific Responsibilities:

  1. Understand, articulate, and exemplify FEA’s vision, mission, and goals, with the ability to appropriately respond on behalf of FEA’s Executive Office.
  2. Display professional judgement as a member of FEA’s Executive Office when interacting with members, staff, and other stakeholders.
  3. Provide administrative support to the Executive Office through maintaining calendars, coordinating meetings, prioritizing access, responding to telephone and email inquiries, coordinating business travel, and maintaining organized files.
  4. Assist with the organizing and planning (notices, agendas, materials, and logistical needs) of Governance Board meetings, Executive Cabinet meetings, FEA leadership meetings, FEA’s Delegate Assembly, NEA’s Representative Assembly, AFT Convention, AFL-CIO Convention and other meetings as scheduled or attended by the Executive Office.
  5. Maintain database of Governance Board Members.
  6. File Corporate Annual Reports and Prepare corporate annual meeting notices and minutes.
  7. Assist the Executive Office with preparing for all meetings and business travel.
  8. Create, edit, and distribute confidential and nonconfidential written correspondence on behalf of the Executive Office.
  9. Attend and provide administrative support for all FEA Governance Board meetings, FEA Executive Cabinet meetings, FEA leadership meetings, FEA’s Delegate Assembly, and NEA’s Representative Assembly.
  10. Maintain a schedule of high-priority or time-sensitive events and deadlines and remind relevant parties to ensure timely completion.
  11. Track assignments given by the Executive Office to FEA leadership and staff.
  12. Efficiently utilize Microsoft Office products including Word, Excel, Publisher, and PowerPoint to accomplish tasks and assigned projects.
  13. Efficiently navigate computer systems, software, and online databases in order to update, compile, and reconcile large sets of data.
  14. Manage and coordinate special projects as assigned.
  15. Provide administrative support during collective bargaining.
  16. Maintain confidentiality of FEA’s business operations and personnel matters.
  17. Create and maintain sensitive/confidential reports as requested.
  18. Serve as the records custodian for all FEA governance policies and procedures.
  19. Prepare and submit reimbursement and travel reports for the Executive Office.
  20. Attend meetings and take minutes as requested.
  21. Successfully manage multiple high-priority projects.
  22. Travel as needed, including extensive overnight travel, to support the Executive Officers.
  23. Other duties as assigned.

General Responsibilities:

  2. Identify, contribute to, and support new opportunities to advance FEA’s vision, mission, and strategic goals.
  3. Perform all work assignments in a manner that effectively and efficiently utilizes FEA resources.
  4. Contribute to and support the development and implementation of departmental and interdepartmental programs and services.
  5. Perform all duties, responsibilities, and assignments within the guidelines outlined in the FSO/FEA Collective Bargaining Agreement and in accordance with FEA Policies and Procedures.
  6. Possess knowledge of FEA’s governance policies and procedures, organization structure, and general policies and procedures.

Compensation & Benefits: Salary will be based on relevant experience and qualifications.
