Job Title: Administrative Assistant, Professional Development Department

Location: Central Florida (remote office) – statewide travel required

Position Summary: The Florida Education Association (FEA) seeks an Administrative Assistant to join its Professional Development Department. The ideal candidate for this position will exhibit creative problem-solving abilities, excellent customer service skills, and the ability to remain organized while managing multiple, competing assignments. This position requires a person who is self-motivated and enjoys working remotely. Travel to different locations in Florida is required to assist with meetings, conferences, and other professional development opportunities offered to FEA members.

Qualifications: At least two years of professional administrative experience is required. A high school graduate with one or two years of college or advanced training is preferred. Strong proficiency in MS Office Suite including Word, PowerPoint, Outlook, and Excel is required. Experience with event planning and online and in-person registration and attendance tracking is highly desirable. Must possess the ability to professionally communicate both orally and in writing (bilingual in English and Spanish is desirable). Must possess the ability to understand and adhere to FEA operations, policies, and procedures. Must be available to travel around the state to provide event support.

Specific Responsibilities:

  1. Provide a variety of administrative support to the Professional Development Department, including but not limited to, maintaining calendars, coordinating business travel, processing incoming and outgoing mail, serving as the primary receptionist, preparing written correspondence, tracking leave requests, ordering and maintaining office supply inventory, and maintaining organized hardcopy and electronic files.
  2. Assist with the planning and event management for professional development activities offered to members, including traveling to in-person events to provide support
  3. Manage event registration and participant tracking.
  4. Assist with creating surveys, flyers, and other promotional materials to highlight available professional development opportunities.
  5. Prepare and distribute reports and information related to professional development activities.
  6. Provide excellent customer service to members via the telephone, email, and in-person.
  7. Coordinate with FEA’s finance staff to ensure the timely submission of business and staff payable and expenses.
  8. Prepare and maintain administrative and project files.
  9. Respond to routine requests for information from FEA Officers, Directors, and Staff and Local Leaders and Staff.
  10. Assist with ensuring compliance with FEA policies and procedures.
  11. Manage and coordinate special projects as assigned.
  12. Assist with administrative support to other departments as needed.
  13. Perform other duties as assigned.

  3. Perform all work assignments in a manner that effectively and efficiently utilizes FEA resources.
  4. Contribute to and support the development and implementation of departmental and interdepartmental programs and services.
  5. Perform all duties, responsibilities, and assignments within the guidelines outlined in the FSO/FEA Collective Bargaining Agreement and in accordance with FEA Policies and Procedures.

Compensation & Benefits: The salary for this position is determined by the negotiated agreement between the Florida Education Association and the Florida Staff Organization based on credited experience. FEA provides medical, dental, vision, life, and long-term-disability insurance to its employees with no employee premiums.
