Job Title: Special Projects Coordinator and Assistant to the Department Manager

Reports To: Participation and Contributions Department Manager

Position Summary:
The Plumbers and Pipefitters National Pension Fund (PPNPF) is a multi-employer defined benefit pension fund responsible for administering the nationwide retirement benefits of over 160,000 hardworking members of the United Association and their families.

As the Special Projects Coordinator and Assistant to the Department Manager (“SPCA”) you will be responsible for assisting the Department Manager with organizing, leading, managing and executing projects and deliverables within the PARCON department. The specific responsibilities and purpose of projects vary and will be tied to the organizational and departmental goals. As the SPCA you will oversee projects from start to finish, establishing milestones and organizing staff collaboration to complete each phase of the project within the scheduled timeline.

As the SPCA you will be expected to become a subject matter expert of the department’s operational procedures, with the goal of constant and never ending improvement of the workflows and procedures.

In this role you will be expected to manage all areas of employer withdrawal liability which includes collaborating with the Fund’s legal counsel and actuary. In addition, you will be responsible for assisting the Dept. Manager with local union and/or special group requests for participation, developing and preparing reports for Trustees meetings, preparing annual compliance reporting, developing and monitoring productivity metrics and KPIs, assisting with Employer audits, and collaborating with other department stakeholders to maintain and manage the Plumbers and Pipefitters National Pension Fund Employer Electronic Remittance System (“PEERS”), and United Association Reciprocity System (“UARS”) related tasks.

As the Special Projects Coordinator and Assistant you will also coordinate and participate in testing and deployment of Fund-wide applications and software including the UARS database, while developing and vetting new methods of processing as a result of changes in procedures and/or changes in plan rules and Federal regulations.

CORE COMPETENCIES:

  • Knowledge of multi-employer pension funds is desirable, but not necessary as training will be provided.

RESPONSIBILITIES:

  • Handles all facets of Employer Withdrawal Liability (“EWL”) including preparing reports for National Pension Fund Trustees approval and preparing annual mailing to Local Unions regarding EWL.
  • Assists Dept. Manager with all facets of new Local Union and/or Special Group Requests for Participation including preparing reports for approval by National Pension Fund Trustees.
  • Coordinates the preparation of and assists the Department Manager with reviewing reports for the Advisors and Trustees meetings.
  • Prepares the annual Report of Summary Plan Information mailing.
  • Provides data to the Fund’s actuary for the annual Pension Protection Act (“PPA”) Certification filing.
  • Provides data to the Fund’s auditor for the annual Schedule R Form 5500 filing.
  • Coordinates annual updating of group procedures and departmental SOP’s.
  • Coordinates with group supervisors and other department staff on intradepartmental projects as assigned by the Department Manager.
  • Assists the Contributions Group with Plumbers and Pipefitters National Pension Fund EmployerElectronic Remittance System (“PEERS”) related tasks.
  • Assists the Delinquency Group with Employer Audit related tasks as needed.
  • Assists the Reciprocity Group with United Association Reciprocity System (“UARS”) related tasks.
  • Coordinates and participates in testing and deployment of Fund wide applications and software (i.e. basys upgrades, UniData upgrades, operating system upgrades) including the UARS database and investigates and develops new methods of processing for the department as a result of changes in procedures and/or changes in Plan rules and Federal regulations.
  • Assists Department Manager with developing and monitoring productivity metrics.
  • Maintains the department’s Disaster Recovery Roster.
  • Performs all other duties as assigned by the Parcon Department Manager.

Qualifications:

  • College degree or at least four years of experience in employee benefits administration and/or project coordination/management.
  • Experience performing analysis and research.
  • Proficiency in MS Word, Outlook and PowerPoint; advanced proficiency in MS Excel (write and combine formulas, cell references and linking, charts and Pivot Tables) is strongly preferred. Working knowledge of other desktop business software.
  • Familiarity with automated data processing and management information systems, procedures and techniques, including Unidata.
  • Ability to communicate with information systems professionals and other staff.

Salary: Commensurate with experience, qualifications, leadership, organizational and interpersonal skills.

Hours: 8:00 AM – 4:30 PM
