Executive Assistant

Based in New York City, NY

The Writers Guild of America, East is a union of close to 6,000 members who craft content for screen and television and who write news for television, radio, and digital media. The Guild negotiates and enforces collective bargaining agreements, organizes the unorganized, and provides a range of services for members including panel discussions, social gatherings, training sessions, and much more.

The Executive Assistant would join our team of union professionals in a challenging and often fast-paced environment.

Key duties include:

  • Providing administrative and logistical support to the Executive Director, including calendar management and travel arrangements
  • Working with members of the executive team to prepare legal documents, research reports, and presentations
  • Assisting other executives and elected union officers with travel arrangements
  • Handling confidential information
  • Preparing materials for meetings
  • Tracking follow-up on decisions and projects to ensure deadlines are met
  • Coordinating meeting logistics including booking conference rooms, distributing conference call information, arranging meals and overseeing their delivery and removal,
  • Providing general expense reporting assistance
  • Managing relationships inside and outside the Guild
  • Identifying how the office can function more effectively
  • Working on special projects as assigned by the Executive Director or conceived by the Executive Assistant based on experience, interest, and imagination

Qualifications:

  • Bachelor’s degree or equivalent experience
  • 5 years of administrative experience supporting the executive-level work environment
  • Demonstrated ability to organize and set priorities, with appropriate decision making
  • Demonstrated ability to organize, focus and manage multiple tasks
  • Ability to navigate sometimes complex settings and bureaucracies
  • Strong interpersonal skills, as well as strong oral and written communication skills
  • Professional demeanor and ability to interact comfortably with wide range of staff, officers, members, and people and organizations outside the union
