Administrative Manager

Based in Oakland, CA

We represent more than 27,000 Service workers (SX), Patient Care Technical workers (EX), Skilled Craft workers (K7), and more at UC’s 10 campuses, 5 medical centers, numerous clinics, research laboratories, and UC Hastings College of Law. We are currently seeking an Administrative Manager working out of the Oakland Office (and/or other offices as assigned), and reporting directly to the Local’s Director of Education, Operations & Organizational Development (DEOOD). The Manager will be responsible for overseeing the Local’s administrative, event planning, travel and office support for all staff, offices and Executive Board. Supervises several administrative staff and interfaces with IT staff on facilities management/oversight.

RESPONSIBILITIES:

  • Oversee all general administration, clerical, event planning, travel, and office administration in the Local.
  • Supervise and give direction and support to all administrative and clerical staff.
  • Manage and maintain accurate and current record systems and files in each local office and centrally in Oakland.
  • Manage and maintain timely and accurate correspondence for the Local’s headquarters, as assigned by the DEOOD.
  • Coordinate with Finance Manager for timely and accurate accounting for administrative systems.
  • Coordinate management and implementation with DEOOD and IT staff for oversight of online office systems and files through Google Business.
  • Manage all office support for 10 separate campus locations/offices and approx. 50 Local staff.
  • Manage administrative, event planning and travel support for Executive Officers, Executive Board, Bargaining Team and other elected bodies as directed by the Executive Director and/or President.
  • Manage and supervise all booking of all travel for the local.
  • Manage all logistics for all meeting and event planning.
  • Manage and negotiate all administrative and/or event vendor contracts for the Local, as well as office leases for separate campus and office locations.
  • Assist Leads and/or Senior staff in worksite based field program events (actions, voting, etc.)
  • Other duties as assigned

EDUCATION AND EXPERIENCE:

  • High school diploma generally required.
  • Excellent knowledge of all Microsoft Office programs, Google for Business.
  • Excellence data entry and data management.
  • Excellent event and travel planning skills.
  • Excellent experience negotiating with office/administrative vendors.
  • Knowledge and experience with contract language a plus.

ADDITIONAL REQUIREMENTS:

  • Occasional day and overnight travel.
  • Willingness to work long and irregular hours, including nights and weekends.
  • Must possess a valid California driver’s license, auto insurance with business coverage, and an automobile for business use.

SALARY & BENEFITS:

  • Pay range starting at $85,358.71 up to $93,273.77 depending upon experience.
  • Medical (Kaiser), Dental, Vision, 401K & Pension + Field Package (business allowance, parking/commuter reimbursement, cell reimbursement, auto insurance reimbursement, per Diem, etc.).
