Administrative Support Specialist

POSITION: Administrative Support Specialist. AFT Washington is excited to offer the opportunity to engage with our membership and community allies by providing administrative support for our organizing, advocacy, and community building efforts. This position is responsible for driving daily office operations and supporting the President and staff as part of our Administrative Support Team (AST).

The position: This job announcement is framed around the responsibilities required of the position at various points in the first six months of employment. Included are the knowledge base needed to be hired as well as learning that is expected to occur by certain points in time.

Skills Expected Upon Start

  • Professional proficiency with English language proofreading.
  • Professional proficiency with business writing including email, letters, and other correspondence.
  • Professional proficiency with MS Office 365 including Outlook, Word, PowerPoint, and Excel.
  • Professional proficiency with Adobe tools including Acrobat Pro.
  • Professional customer service skills.
  • Experience with office phone systems including voicemail and call transfers.
  • Experience with office copier/printer equipment.
  • Experience with office postage equipment.
  • Familiarity with design of flyers, newsletters, and other publications and collateral.
  • Excellent communication and organization skills.
  • High degree of flexibility including the ability to quickly shift between multiple tasks and adapt to changing deadlines.

Position-Relevant Knowledge Expected Upon Start

  • Background in unionism and the labor movement including with familiarity with union bug placement requirements.
  • Working analysis of systemic oppression and strategies for promoting equality.
  • Understanding of the value of public education in both higher education and Pre-K.

Month One Responsibilities

  • Introduction to AFT Washington Executive Board, Councils, and Committees with assistance from the President and staff.
  • Meet with AFT Washington staff individually.
  • Send email reminders for AFT Washington meetings and events.
  • Send at least one Action Network action alert in collaboration with the Communications Specialist.
  • Create at least one event registration in LeaderNet.
  • Create at least one survey in LeaderNet.
  • Proofread, format, and bug AFT Washington documents and correspondence as required.
  • Answer incoming phone calls and route voicemails to appropriate staff.

Month One Learning Expectations

  • Understand the role of the Administrative Support Specialist and how it fits into the AST.
  • Understand who AFT Washington represents and general concerns of each constituency.
  • Understand the various councils, committees, and other action groups that require meeting support.
  • Understand the AFT Washington calendar of meetings and events and the support needed for each.
  • Learn how to operate Action Network for sending targeted action alerts.
  • Learn to use LeaderNet tools to create registrations, surveys, and other forms.
  • Become familiar with the AFT Washington style guide.
  • Knowledge of communication vehicles used by AFT Washington.

Month Three Responsibilities

  • Send monthly per capita billing and delinquency notices.
  • Monitor AFT Washington general email account and route emails to appropriate staff.
  • Route incoming mail to appropriate staff.
  • Provide support for AFT Washington publications including Pulse, Spotlight, and Legisletter.
  • Create a plan for the scholarship committee process with help from other staff.
  • Host a Zoom internal virtual meeting using Zoom.
  • Support and staff events as assigned.

Month Three Learning Expectations

  • Knowledge of state agencies, educational structures, and institutions relevant to member interests.
  • Knowledge of communications vehicles used by AFT Washington and AFT.
  • Knowledge of Zoom participant and host controls.
  • Review the AFT Washington Scholarship Committee and process.
  • Learn about AFT Washington Convention preparations and convention call requirements.
  • Learn to navigate Company Web files.

Month –Six Responsibilities

  • Prepare and send COPE endorsement and contribution letters.
  • Proof and send annual COPE revoke letters.
  • Develop a scholarship fundraising plan in collaboration with the Organizing Team.
  • Develop a plan for maintaining Company Web files.

Month Six Learning Expectations

  • Learn COPE endorsement and contribution letter requirements and process.
  • Learn COPE revoke letter requirements and process.
  • Learn resolution formatting and preparation process.
  • Understand AFT Washington supply and food ordering practices.
  • Learn backup responsibilities with training from other AST staff.
  • Identify areas for continuing professional development
