Starting Salary: $49,094

This position provides intermediate, direct clerical and administrative support and related work as required by the Retiree Department.

Duties:

  • Coordinates Retiree affiliates’ membership updates into UnionWare with chapters and AFSCME’s Data and Analytics Department and processes bank draft and credit card charges using UPay for cash-dues chapters.
  • Creates and maintains retiree chapter leadership and staff directory in both electronic and paper format. Coordinates changes to retiree chapter leadership contact information on AFSCME Website and with Data and Analytics.
  • Monitors and responds to messages in departmental public email boxes.
  • Updates membership information in AFSCME database systems as needed.
  • Coordinates system for getting information about membership data changes submitted to the national union back to chapter leadership. Orders or pulls membership files upon request and approval of the Director, Field Manager or Administrative Assistant.
  • Receives and screens incoming requests via mail, email and/or telephone. Routes calls, forwards emails or takes and delivers messages. Places calls as requested. Organizes, logs (if applicable) and resolves issues with minimal supervision.
  • Responds to member and chapter phone calls requesting membership changes, change of address, membership card requests and other requests as needed.
  • Maintains inventory systems and fulfills requests from retiree chapters and members for materials and tchotchkes. Works with AA to determine when more printed materials need to be ordered. Works with department staff to recommend new tchotchkes or other materials. Makes inventory and shipping recommendations.
  • Coordinates shipping of materials and other items to field staff and retiree affiliates.
  • Assists with the processing of Retiree PEOPLE solicitation returns in conjunction with PEOPLE staff.
  • Coordinates annual membership renewal program for at-large retirees and annual recruitment and PEOPLE drives for AFSCME pension plan retirees.
  • Coordinates annual amalgamated subchapter dues rebate invoicing program.
  • Pulls chapter constitutions upon request. Updates and maintains Retiree Constitutions binders, databases and electronic files.
  • Handles routine requests for information.
  • Performs other clerical tasks such as preparing travel arrangements for Field Manager, answering and routing telephone calls, copying and scanning documents and provides back-up clerical support to the AA.
  • Supports Retiree Field Manager and Retiree Field Organizers as well as Department Director as needed.
  • Assists with logistics for meetings, conferences and events.
  • Performs related duties as assigned.

Education and Experience:

  • Graduation from an accredited High School or equivalent.
  • 3-5 years of office experience or a combination of education and experience to provide the following knowledge skills and abilities:

Skills:

  • Advanced knowledge of MS Office suite – Word, Excel, Access and PowerPoint.
  • Excellent database management and data analysis skills.
  • Ability to handle multiple tasks while working with minimal supervision; manage time effectively to meet deadlines and be self-motivated to learn and take on new tasks and responsibilities.
  • A high degree of organizational skills, accuracy and attention to detail.
  • Demonstrated ability to communicate effectively and professionally with co-workers, management and others external to AFSCME.
  • Knowledge of UnionWare, UPay and VAN desired.
