Location: Motor Vehicle Service Division, Clerk Division & Human Relations Department
Shift: 9:00 a.m. – 5:00 p.m. Monday – Friday
Motor Vehicle Service Division:
Monday & Tuesday: 9:00 am – 5:00 pm
Clerk Division:
Wednesday: 9:00 am – 5:00 pm, on an as needed basis
Human Relations Department:
Thursday & Friday: 9:00 am – 5:00 pm
Reports To: Director, MVS Division, Director, Clerk Division & Director, Human Relations Department

FUNCTIONAL PURPOSE:
Under general supervision, performs a variety of administrative, clerical, and other duties as assigned by the Directors and his/her designees.
DUTIES AND RESPONSIBILITIES:
Motor Vehicle Service Division
To include, but not limited to the following. Other duties may be assigned.
- Data input for 5500s
- Proper filling of Data
- Cost Comparison
- Proper Notification to Locals
Clerk Division
To include, but are not limited to the following.
- Process requests for information according to established department’s procedures.
- Screen incoming calls, provide assistance when possible, or refer to the appropriate individual. Greets visitors, ascertains nature of business, and escorts visitors to the respective officer.
- Copy and compile documents, as requested.
- Other duties may be assigned.
Human Relations Department
To include, but are not limited to the following. Other duties may be assigned.
- Open mail and distribute to the appropriate personnel for handling. Type various letters, correspondence and/or other material from hand-written notes and/or rough draft emails. Make copies; scan ad file correspondence with related backup material.
- Screen incoming calls, provide assistance when possible, or refer to the appropriate individual. Responsible for facilitating conference calls, call forwarding, and making outgoing calls upon request.
QUALIFICATIONS:
To perform this job successfully, an individual must be able to perform each essential duty satisfactorily. The requirements listed are representative of the knowledge, skill, and/or ability required.
EDUCATION & EXPERIENCE:
- High school graduate or equivalent.
- Two years secretarial or equivalent experience.
- Prior executive office secretarial or administrative experience desired.
SKILLS/ABILITIES:
- Ability to type 45 wpm and perform duties on computer using word processing application including but not limited to Word, Excel, PowerPoint and Outlook. Proficiency and willingness to learn additional software programs desirable.
- Ability to perform duties with neatness and accuracy.
- Ability to use office equipment such as copiers, scanners, fax, desktop computer system and peripherals, etc.
- Individual must be dependable with exemplary attendance and punctuality and demonstrate excellent telephone courtesy.
- Ability to establish and maintain effective working relationship with APWU personnel, members and general public.
