The Delaware State Education Association is seeking applicants for the position of full-time Program Assistant – Membership/Organizational, which is based in its Dover office. This position provides support for the day to day operations of DSEA with a priority emphasis on membership. The primary responsibility of the position is to provide ongoing administrative support for membership processing and data analysis. In addition, the position will provide general administrative support to DSEA as needed and time permits.

Knowledge, Skills and Abilities
Required: Familiarity in a business environment, knowledge of modern office practices; ability to maintain harmonious working relationships with other employees, members and the general public; exercises tact and discretion; possesses and demonstrates excellent communication skills; competency in Microsoft Office applications with advanced abilities in Word, Excel, and Access; proven computer skills with excellent efficiency and accuracy; ability to integrate/exchange data between Microsoft program applications and other database systems (e.g., NEA membership database); ability to work independently and prioritize multiple tasks and responsibilities.

Preferred: Report writing skills utilizing Salesforce or other report writing software.

Essential Functions
Membership

  • Membership Processing/Maintenance
  • Liaison with district payroll on membership related issues
  • Maintenance of membership records including dues, transfers between locals, and cancellation of membership
  • Monitors online membership enrollments and addresses any issues that need attention
  • Assists and supports locals in running membership reports
  • Analyzes and manipulates data across systems to ensure accuracy
  • Prints membership cards as forms are entered once a predetermined number of new entries has been reached or amount of time has lapsed
  • Prints membership cards when request for replacement cards have been received

Organizational

  • Daily office start-up
  • Screen incoming telephone calls; receives and screens visitors; independently handles those matters not requiring attention of professional staff or refers them to appropriate personnel for action
  • Support Member Benefit Services by responding to requests and inquiries or refers them to appropriate personnel for action
  • Respond to requests from members and other education agencies
  • Gather information and generate reports upon request and for special projects
  • Plan, organize and coordinate various meetings, trainings or workshop sessions
  • Communicate messages and information to staff, DSEA leadership and members
  • Anticipate upcoming events and routine activities; demonstrate a willingness to assist other support staff as needed with upcoming events
  • Maintains confidentiality of files, documents and information
  • Maintains appointment schedules, screens and distributes mail, and makes other arrangements (i.e. travel, hotel) for staff, as requested
  • Relays information between staff and members or district representatives via telephone, e-mail and written correspondence
  • Ensures State and organizational compliance by Local Associations and provides assistance as needed (i.e. Incorporation Compliance; PERB reports)
  • Performs other duties as assigned to meet the needs of DSEA, its local affiliates and its members.

Minimum Qualifications
Clerical certification or Associate Degree, preferably in business administration or equivalent.

Salary & Benefits
The successful applicant will be hired pursuant to the Delaware Staff Organization Collective Bargaining Agreement.
