The Executive Assistant will report to the Executive Director and play an integral role in the organization’s communications, administration, and fundraising, working closely with both development and campaigns staff to strengthen ILRF’s engagement with supporters and activists. Responsibilities include coordinating logistics and fundraising for annual gala, database administration and maintenance, cultivating individual donor and activist networks, supporting E.D. engagement with board members, intern program coordination, and other executive support activities. This job is an excellent entrée into understanding nonprofit management and an overall perspective on ILRF’s full range of labor rights advocacy.

Essential Duties and Responsibilities

Executive Support:

  • Carry out a wide variety of administrative tasks for the Executive Director, including managing an extremely active calendar of appointments, arranging meeting agendas, and note-taking during meetings
  • Communicate directly, on behalf of the Executive Director, with board members, donors, and external parties
  • Assist with communications and planning with ILRF’s Board of Directors, coordinating meeting preparation and logistics and liaising with Board members on various planning, follow-up, and communications needs, including the coordination of calls and agendas for board sub-committees

Donor and Activist Outreach:

  • Manage funder data and ILRF’s Customer Relationship Management (CRM) database by entering new contacts and donations, ensuring timely data entry, processing regular clean-up
  • Open, copy, time-stamp and log all donations; prepare and make deposits; and send copies to ILRF bookkeeper
  • Ensure all donations, donor information and thank you replies are tracked and logged accurately in the CRM database
  • Support donor outreach, including organizing and conducting solicitation calls and producing donor acknowledgements
  • Assist with fundraising communications by supporting e-blast set-up

Operations/Office Support:

  • Perform general office duties: order supplies, reserve conference rooms, welcome visitors, order/coordinate in-house meeting refreshments
  • Process and distribute incoming/outgoing mail to staff and contractors
  • Copy and time-stamp all invoices and donations; send to bookkeeper; and maintain well-organized files of what is sent
  • Assist in maintenance and troubleshooting of ILRF’s CRM system and ILRF website
  • Assist with layout/design for ILRF publications using Adobe InDesign

Required Qualifications

  • One to two years of experience in nonprofit administration, membership, event planning, and/or fundraising
  • Excellent writing, proofing, and fast and accurate copyediting skills
  • Demonstrated ability to work well under pressure and manage multiple work streams
  • Excellent ability at problem solving and trouble shooting.
  • Highly organized and detail-oriented
  • Ability to work independently, meet deadlines, and prioritize tasks
  • Ability to represent ILRF professionally at meetings and coordinate effectively with other ILRF staff and allies
  • Tech-savvy and proficiency with Microsoft Suite and database management
  • Enthusiasm for ILRF’s labor rights and corporate accountability mission
  • Bachelor’s degree

Preferred Qualifications

  • Experience with CRM systems (e.g. Salesforce, Blackbaud, GetActive, ActionNetwork, NeonCRM or Salsa)
  • Graphic design skills and familiarity with Adobe Creative Suite
  • Proficiency with Drupal

Location: Washington, D.C.
Employment Status: Full-time, Exempt, Bargaining Unit

Compensation: The starting salary for this position is between $38,000 and $45,000. ILRF has a generous benefits package.
