Union Overview
The Writers Guild of America, West (WGAW) is a dynamic, democratic, progressive labor union representing writers of motion picture, television, radio and Internet programming, including news and documentaries. Founded in 1933, the Guild negotiates and administers contracts that protect the creative and economic rights of its members. It is involved in a wide range of programs that advance the interests of writers, and is active in public policy and legislative matters on the local, national, and international levels.

Job Description
Under the supervision of the Director of Member Organizing, the Coordinator II provides organizational, administrative, event and research support.

Essential Functions

  1. Provide administrative support and coordination for events and activities.
  2. Prepare and follow-up expense reports and check requests, IT e-ticket requests and office supply orders; keep records of all invoices, expenses, reimbursements and make travel arrangements.
  3. Assist in the development, implementation and coordination of departmental and committee meetings, including preparing agendas, minutes and other records, and coordinate calendars.
  4. Plan, coordinate, support and implement special programs and events, both on and off-site, including negotiating with vendors and working with other organizations.
  5. Provide logistical and other support for campaigns and committees/caucuses; act as staff liaison for assigned committees/caucuses.
  6. Undertake research projects and prepare reports on companies, programs, issues and writers as needed and as assigned.
  7. Enter and manage information in databases and run reports.
  8. Develop and coordinate special programs and events.
  9. Type, prepare, copy, distribute and/or fax correspondence, memoranda, agreements and other documents.
  10. Provide information to members and writers about the Guild and its contracts, including inquiries and matters that are confidential or sensitive.
  11. Maintain Departments’ filing systems.
  12. Process incoming and outgoing mail and general information requests as well as internal communications.
  13. Interact effectively with other Guild departments.
  14. Other duties as required.

Occupational Requirements

  1. Must have excellent organizational and time management skills and be extremely proficient in Word and Excel for Windows.
  2. Strong written and oral communication skills are essential.
  3. Must manage telephone and email volume with tact and discretion, work effectively with other Guild departments, and have the ability to work in a fast-paced environment handling sensitive confidential material.
  4. Entertainment industry experience and a minimum of two years prior administrative experience are strongly preferred.
  5. Must be available and willing to work evenings and weekends as needed.
  6. Must have a valid California driver’s license and reliable insured personal transportation.
