This position provides advanced-level clerical, administrative support and related work as required for AFSCME’s FEC PAC (PEOPLE) to the Department Director, Associate and Assistant Directors and departmental staff.

DUTIES:          

  • Maintain/Develop/Manage Aristotle Database System – Maintain, create, update, manipulate, and execute all transactions and records in the Aristotle Database (FEC PAC).
  • Prepare and print all AFPs (Contribution Approval Forms) for disbursing PEOPLE PAC funds.
  • Responsible for researching FEC or other web sites to make sure that the database has the most accurate campaign name, addresses and FEC ID numbers and make the necessary changes as needed.
  • Responsible for obtaining Political Director, Executive Office and Accounting approvals of all AFPs, working in collaboration with the Executive Office and Accounting Department to move the AFPs forward for actual disbursement of checks.
  • Prepare letters and transmittal memos to accompany PEOPLE PAC disbursement contributions for delivery to affiliates, International staff or directly to campaigns.
  • Prepares non-standard letter, memoranda and correspondence. 
  • Maintain Campaign Finance Reporting – complete and file all PEOPLE PAC disbursement campaign finance state reports with Secretary of State Campaign Finance Offices throughout the year.
  • Responsible for learning how to file electronically with the various states with different standards that require this type of filing.
  • Manipulates and analyzes economic data from Aristotle database, produces reports and support documentation and preparing all PEOPLE PAC disbursement reports that are requested by management. This includes keeping records/data on all U.S. House and Senate members and “hard” state and local candidates.  Data includes, but is not limited to, campaign names, addresses, party, office, state, AFSCME Cumulative Voting Records, winning percentages, PEOPLE disbursements (contributions), transmittal of checks, check numbers, primary/general cycle, federal or non-federal, fundraisers, appropriate AFSCME IVPs, affiliates and contact staff for copying.
  • Set up, maintain, and file all AFP records, letters, transmittal memos, contribution backup memos and, fundraising reports related to PEOPLE PAC contributions. This includes converting from Aristotle database to Excel. Maintain AFSCME documents, backup, Excel and database records related to the Democratic National Convention and the Republican National Convention. Responsible for mailing letters to members that are elected delegate/alternate.
  • Prepares necessary paperwork for processing and transmitting checks to reimburse AFSCME members for approved expenses. Maintain AFSCME Independent Expenditure Campaign Records in addition to processing necessary reports, gathering required information for approval and check processing.
  • Attend meetings in person and on the phone regarding PAC operation activities and upgrades.  (Aristotle).
  • Create and edit various flyers, tables and schedules. (AFSCME PEOPLE, hard/soft money etc.).
  • Finalize eye-openers and legislative updates for distribution. May be required to perform other related duties as assigned

EDUCATION REQUIREMENTS:

  • Graduation from an accredited high school or equivalent and five to seven years of office experience or any equivalent combination of education and experience.   

EXPERIENCE/SKILLS REQUIREMENTS:

  • Strong writing skills and attention to detail a must.
  • Excellent data base management and data analysis skills. 
  • Ability to handle multiple tasks while working with minimal supervision; manage time effectively to meet deadlines and be self-motivated to learn and take on new tasks and responsibilities.
  • A high degree of organizational skills, time management, accuracy, attention to detail and workflow output.
  • Demonstrated ability to communicate effectively and professionally with co-workers, management and others external to AFSCME. 
  • Advanced knowledge of the MS Office Suite – Word, Excel, Access and PowerPoint.
  • Background in Accounting is helpful.
