Administrative Assistant/Receptionist

Based in Austin, TX
 

The Texas AFL-CIO is a statewide labor federation serving as the leading voice for working families in Texas.  We are seeking an Administrative Assistant/Receptionist for our statewide headquarters in Austin, Texas.  This position carries deep importance to the organization, as the person serves as the initial point of contact for visitors and callers to the organization.  The position also provides significant administrative support for all departments and activities of the organization. 

The successful applicant will be committed to the goals of the labor movement and be willing to serve as a team player in pursuing our goals.  The person will take responsibility for and pride in their work and in the work of the organization, and will represent the organization in the most positive light in interactions with affiliates and with the general public. 

The primary duties of the position are:

  • Receive, screen and transfer incoming calls and be primary administrator of phone system;
  • Greet, announce and direct visitors to the appropriate contact;
  • Process incoming and outgoing mail/deliveries, including daily pick up at post office;
  • Maintain and order office supplies in shared work area(s);
  • Oversee auditorium and meeting room schedule, including and keeping track of keys and deposits;
  • Oversee assignment and monitoring of parking spaces;
  • Maintain up to date lists of organizational leadership;
  • Assist Scholarship committee and staff with applications, processing and awarding of scholarships;
  • Maintain and file lobby reports monthly for organizational staff;
  • Assist with registration and other tasks in connection with organizational meetings, events and conventions;
  • General administrative duties as needed, including word processing, copying, mail outs, filing, record keeping, taking minutes, etc.;
  • Other duties as assigned.

Qualifications:

  • Ability to engage in efficient, friendly and culturally sensitive interpersonal relations;
  • Advanced computer skills in Word and general computer literacy;
  • Ability to compose and edit letters and other documents;
  • Flexible attitude in handling multiple priorities;
  • Ability to work independently while also working cooperatively with others;
  • Excellent organizational and time management skills.

This is a bargaining unit position and carries a very competitive compensation package, including health care, retirement and other benefits.
