Summary:
The Executive Assistant to the Executive Secretary Treasurer is responsible for the oversight of the administrative activities of the executive office including, but not limited to, managing administrative functions, completing special projects, calendar coordination and assistance with organization’s activities and communications. Working closely with the Executive Secretary-Treasurer and Director of Operations, the executive assistant maximizes the effectiveness of the Executive office in meeting its goals by providing comprehensive administrative support. The Executive Assistant will interact with internal and external partners of the organization. Independent judgment is required to manage competing priorities in a fast paced environment.

Job Responsibilities include (but are not limited to):

  • Handle confidential and non-routine information with sensitivity;
  • Maintain meeting schedule – including scheduling and rescheduling meetings as necessary;
  • Answer/respond to incoming calls, emails and other correspondences;
  • Assist in planning and coordinating events, including trainings, conferences, and meetings;
  • Assist with travel arrangements;
  • Accurately tracks, process and submits expenses and other financial actions such as managing credit cards and receipts;
  • Maintains physical and electronic office filing systems for Executive office;
  • Provide administrative support to various meetings including but not limited to maintaining, tracking and preparing reports for various meetings;
  • Collects and prepares sensitive information for use in discussions and meetings with the organization*s staff and outside individuals;
  • Analyzes problems, determines approach, compiles and analyzes data and prepares reports/recommendations;
  • Work closely with other administrative and senior staff to complete tasks as needed
  • Conduct background research as requested to prepare for meetings, speeches, conferences;
  • Communicate about our work in writing and occasionally as a representative for the Executive Office
  • Attends meetings (as needed) with the Executive Secretary-Treasurer

Qualifications

  • Prior equivalent work experience.
  • Experience with or knowledge of labor unions, or plus civil / immigrant rights experience.
  • Willingness to work longer hours and be flexible on scheduling.
  • Excellent verbal and written communication skills.
  • Exceptional interpersonal and teamwork skills.
  • Proficient in Microsoft Word and Microsoft Excel. Familiarity with databases a plus.
  • Ability to work well in high-pressure situations and within deadlines
  • Detail oriented and highly organized with the ability to manage several projects simultaneously
  • Willingness to take initiative and ability to prioritize
  • Ability to maintain and protect the confidentiality of information.
  • Bilingual English/Spanish preferred
  • Minimum three (3) years’ experience in labor, political or community union office preferred
  • Able to travel locally, and occasionally accompany the LA FED to meetings

Compensation
Position is covered by OPEIU Local 537 collective bargaining agreement Salary Grade 5. Salary is negotiable and based on experience.
