Job description: The Office Manager has three main areas of responsibility: facilities management, events coordination, and support for the Local’s leadership team, including calendaring, logistics and other related duties. The job will include oversight of the facilities budget, vendor relations, and confidential duties with staff leadership and the executive board. This is a salaried and exempt position reporting to the Executive Director.
Areas of responsibility:
- Facilities management: Local 49 owns its headquarters in SE Portland and rents one additional office in Eugene (and other campaign space as needed). The office manager will manage budget for and oversee equipment, maintenance, etc., working with IT staff as needed, including working with vendors. Liaison to staff in field offices for addressing their office needs.
- Events coordination: Plan logistics for and work with leadership on scheduling annual 300-person leadership conference; plan and book staff/leadership/board retreats; oversee other event, training and meeting logistics as needed.
- Support for staff leadership and executive board: Assist president and other leaders with calendaring as needed; serve as board recording secretary; coordinate board and staff participation in outside events; negotiate with vendors for and schedule board travel and some staff travel; oversight of records for board and staff leaders; other duties as assigned. Confidential assistant in legal/bargaining matters with individual staff and staff union.
- Other work as needed to move the Local’s work ahead: training staff in use of office suite and related technology; assistance in managing Local’s data resources; and other daily operations roles as required.
Qualifications:
- Strong written, presentation and in-person communications skills
- Strong MS Office and other basic office technical skills
- Substantial experience in comparable office jobs
- Self-directed, detail-oriented and driven by Local 49’s mission
- Ability to improvise, adapt to changing situations and multitask when needed
- Bilingual Spanish/English preferred
- Strong ability to work independently as well as with a team
- High level of professional integrity
- Support for social justice organizing and activism with and on behalf of working people, immigrants, women, and others
Compensation:
Annual wages are $44,181-60,402 depending on experience, plus full family health coverage, a defined-benefit pension and a 401k match, as well as generous leave time. The position is salaried; weekend and evening work is required. Comp time for most weekend work.
