Job Description — Field Assistant Level II (.533 FTE) Puget Sound UniServ Council, Auburn, WA
Part Time: (.533 FTE) 20 Hrs./Wk.
Supervision: The successful applicant will function as a member of the Advocacy Center of the Washington Education Association. The assistant shall report to the Director of the Advocacy Center.
Location/Demographics: The Puget Sound UniServ Council office is located along the I-5 corridor, between Seattle and Tacoma. The Council serves 13 locals (7 certificated, 4 classified and 2 merged locals) and is situated in a square bordered by Tukwila and Orting, Vashon Island and Enumclaw.
Job summary and essential job functions: The Field Assistant serves as a receptionist and primarily performs clerical duties in support of council activities. These include, but are not limited to:
- producing various memos and correspondence
- meeting, conference and event planning/coordination
- formatting and producing newsletters
- producing reports and materials from computer records and documents
- assists as needed with entering and maintaining membership records
- maintaining various databases, and working files
- responsible for maintaining and regularly updating Council web page
- greets visitors and directs phone calls
- schedules and coordinates meetings
- assists in maintaining office equipment
- assists members and staff with problems through researching questions and providing information and materials
- attends Council events and meetings when necessary
- performs other duties as assigned
- maintains the main office calendar and other Outlook calendars
- maintains all association bargaining contracts – electronic and paper versions
- assists with setup/cleanup of rooms for meetings
Attendance, punctuality, a positive attitude and an ability to demonstrate grace under pressure are crucial in accomplishing the ongoing job functions of this position. This position is covered under the WEA/WEASO Collective Bargaining Agreement.
Minimum job requirements:
- High school graduate or GED equivalent
- Two years secretarial or equivalent experience
- Ability to type a minimum of 50 wpm using PC word processing software
- Proficient at PC compatible programs, i.e., Microsoft Word, Outlook, Excel and Publisher
- Experience with database software
- Proficient with web page and desktop publishing software
- Demonstrated secretarial skills including word processing, filing, proofreading, document retrieval, creating spreadsheets and screening calls
- Ability to enter documents and data quickly with a high degree of accuracy
- Ability to compose, draft, edit, proof and produce quality professional correspondence
- Strong interpersonal skills, including experience in dealing with members
- Ability to work well with others in a team environment and under pressure
- Proven success in building and maintaining productive, collegial relationships with diverse individuals both internally and externally
- Self-starter; demonstrated initiative regarding assignments and flexibility with changing priorities; must be well-organized, detail-oriented and able to prioritize work
- Pleasant, clear telephone voice with the ability to enunciate and pronounce words clearly to be understood over the phone
- Ability to keep client information confidential
- Ability to confront and resolve conflict constructively
- Ability to relate in a positive, diplomatic and patient manner
- Must support and help advance the WEA mission, goal, core values and priorities
Preferred job requirements:
- Experience with meeting, conference and/or event planning
- Experience with mail merge
- Experience with accessing and use of the Internet and electronic communications
- Experience in public education, unions or related employment
Salary and Benefits:
Annual salary range:
- Level II (B) – $22,175.47 to $32,815.21 (.533 FTE applied)
