Job Summary
Maintaining UESF Bargaining Unit Records
- Entering data for new bargaining unit members from UESF membership applications (year-round)
- Updating bargaining unit members’ personal information, including addresses, phone numbers, email addresses, etc. (as needed)
- Updating staff lists and returning them to site representatives (mostly August and September)
- Checking all data for data entry errors (monthly)
- Preparing a bargaining unit information summary (monthly)
- Uploading monthly school district data
- Updating school administrators’ information (July/August)
- Sending monthly membership reports to AFT & CTA
- Updating data based on school board agendas (twice a month)
Updating and Correcting School District Payroll Deductions for Bargaining Unit Members
- Sending memos to the school district payroll department for new member dues and voluntary contributions, any unit members’ dues rate changes and reimbursements for overpayments as necessary (monthly)
- Checking monthly certificated and twice-monthly classified dues postings from the school district to ensure that records are correct
- Checking that Charter School members’ data are up to date and correct dues are received
- Reconciling STRS deductions (monthly)
- Updating STRS deductions in database (June/July)
Communication
- Answering phones and assisting with reception (daily as needed)
- Responding to emails (daily as needed)
- Sending dues correspondence for Retiree Division (daily as needed)
Providing Membership Services
- Maintaining Retired Division records as needed
- Preparing a yearly mailing of membership cards (September)
- Maintaining an up-to-date file for each member, including the membership application and other pertinent membership information (as needed)
- Miscellaneous duties as may be assigned to assist with organizational campaigns, such as sign-making, preparation for conferences and social events, and tee-shirt inventory and distribution.
- Support for Election Committee: Preparing election mailers/reports for paper and online voting; reviewing and assembling candidate statements
- Preparing weekly reports for email blasts
- Downloading and printing district vacancy listings for certificated and classified (daily)
- Sending out condolence cards and track scholarship donations for deceased members
- Preparing credentials and reports and assisting in travel preparations for summer conventions
- Assisting with scholarships, Health & Welfare Fund and Scatena Fund selection process (prepare/receive applications, send notifications to winners, etc.)
Support for Staff
- Creating reports as requested for staff (as needed)
Required Skills and Experience
- Computer aptitude and facility with word processing, data bases, and spread sheets
- Ability to use various office machines, including copier, scanner, mailing and postage machines
- Interacting with public, mostly Union members
- Organizational skills and ability to meet deadlines
- Ability to prepare business correspondence
- Ability to multitask, sometimes on short notice
Preferred
- Previous experience working for a union
- Ability to speak Spanish or Cantonese
Salary: $31.20 – $38.90/hour, depending on experience
