Office Administrator and Program Support Staff
RESPONSIBILITIES:
Finances and Fundraising
- Prepare checks and pay bills
- Track and prepare reports on assets, cash flow, and implementation of budget
- Lead coordination of Annual Working Families Gala
- Assist in implementation of grant programs and development of yearly budget
- Provide information to accountant and auditor
Facility and Office Management
- Maintain and improve office efficiency by developing effective office operations and procedures
- Purchase office supplies
- Monitor condition of building and office equipment and arrange maintenance/repairs
- Manage calendar and logistics for regular and special events, meetings, and hall rental
Data Management and Communications
- Pro-actively collect contact data for, input data into, and manage multiple databases
- Develop systems for and manage new affiliation and affiliation update paperwork
- Respond to affiliate requests and needs
- Provide general support to visitors
- Draft and prepare letters on behalf of the Executive Director
Program Support
- Assist program staff and affiliated unions in achieving the AFL-CIO’s political and economic goals
- Provide logistical and other support to leadership of labor assemblies to achieve their programs
- Assist locals in implementing local union programs
- Other duties as assigned, including support for other union program, actions and events
QUALFIICATIONS
- Experience as an Office Manager or Administrative Assistant; experience in a union office a plus.
- Fluency in QuickBooks, Xero, or other accounting software; Microsoft Word; Excel/Googlesheets; Access or other databases; publisher or other design layout software
- Ability to plan, prioritize, and complete several projects on time simultaneously
- Pro-active in developing solutions to problems, detail-oriented, and highly organized
- Ability to work well under pressure with others
- Discretion with regard to confidential matters
- Strong written and verbal communication skills
- Available to work occasional evenings and Saturdays for various events throughout the year
- Bilingual Spanish/English preferred but not required
- Commitment to expanding social and economic justice
