This is a full time permanent position with benefits, primarily working out of our headquarters in Oakland, California.
We are seeking a high-energy, mature, well organized, Administrative Assistant for a position that will include assisting executive staff, providing support to statewide campaigns, special projects, and meeting and travel responsibilities for the entire organization. Must be experienced having worked in a fast-paced office environment and capable of handling multiple numbers of diverse assignments. Labor or campaign experience preferred.
Responsibilities will include:
- Coordinate and book travel arrangements for statewide staff and members, including Executive Board members
- Coordinate meeting and conference logistics/arrangements
- Relieve executive staff of minor administrative and business travel coordination
- Assist when necessary in the development and preparation of presentation material, campaign material, and campaign propaganda
- Coordinate and plan logistics for rallies and other actions/events, including onsite support
- Coordinate special projects and prepare database reports
- Provide administrative support to staff in satellite offices including onsite support when necessary
- Maintain various travel and events calendars
- Create and maintain filing systems for Headquarters related to travel and events
- Other administrative support as assigned
Ideal Applicant will be:
Bilingual (Spanish). Experienced (2-4 years minimum) in administrative/office work, and travel and event planning and logistics, preferably in a dynamic member-driven organization. You should be able to display responsible initiative, to receive and apply feedback, and possess the ability to work with a diverse group of people. We are seeking an incredibly motivated, responsible, independent worker, who is organized, a multi-tasker, problem-solver, detail-oriented, and willing to travel to satellite offices across the state of California when necessary.
Required Qualifications:
Excellent interpersonal skills, proficiency in MS Office Suite/Access, Google documents, and Adobe. Web/Graphic design is a plus. High level of experience in coordinating and booking travel and office events. Weekends and long and/or irregular work hours may be necessary on occasion.
